NOTE: This feature requires that you have set up labor processes and that your employees are tracking time to orders.If you would like to view where an order is in the shop, go to the order and click on the ^More drop down under the order status on the Order or Production tabs. You can see which steps of a labor process have been completed with a date stamp. If the step is currently being worked on, it will indicate In Progress next to the labor process name.If the order has shipped, you can also view this information from the Resource Allocation tab.
  2. Both require a certain amount of input. You have to somehow tell it what it needs to know (duh). It's all about finding a good balance. On one hand, you can have your people doing nothing but clocking in and out, and it will detract from their work. On the other hand, if you do nothing, you're where you (probably) are now. As a general rule of thumb, don't make your employees walk more than 10 seconds to a computer. Buy some cheap netbooks for $200 and strap them right to the machines! Track things that matter, things that you're going to measure. The first is a time card, which basically replicates the time clock you might have hanging on the wall. Employees clock in, clock out, and you pay them for being there. They get paid to go to the bathroom, play pranks, and talk to each other. The second is a time tracking system that tracks how much time each employee works on a specific order. You can get rich data if your shop is using this tool. You'll be able to tell which jobs are more profitable, see which processes take the longest, and so much more.
  3. To use the timecard scanner you'll need a simple scanner connected to your computer (set to code 128, same setup you'd use for all the other scanning station functions). Then each employee can print their own timecard on their log -in page right next to the 'clock in' button. Then, you can set up any computer in your shop to be a timecard scanning station by simply clicking on the avatar in the top right hand corner and choosing "timecard scanner." Each employee can scan their times card quickly, rather that logging in to clock in and out. It is safe for any employee or boss to open the timecard scanner and leave the station open for others to use because as soon as anyone navigates away from the timecard page the system will log you out.
  4. How do I set up time tracking? If you haven't already, go and edit each employee's profile to make sure you've included wage information. (Edit Employee > Employee Information > Type in Wage) This will matter when you want to track labor costs to an order (you can view this information in the Results tab of the order) To get started you'll first need to create your Labor Processes so that your employees can choose which of those tasks they're doing! Settings -> Operations -> Labor Processes On this page you'll see production lines - all of your labor processes are inside each of those production lines. If you have a fronts line and a boxes line you would likely have slightly different labor processes in each of those lines. Open the line you'd like to add processes to and you'll see the ability to add categories, labor, the wage attached to each process and whether or not you want that labor process to automatically change the status of the job (e.g. An employee clocks in as cutting out on the saw, you could have that move the status of the order to In Progress. Or if you had a process for loading the truck for delivery maybe you'd have that process move the job to Shipped status). Once you have that up to your liking, your employees can start using the time tracking system by going to the avatar in the top right hand corner of the page and chose "time tracking". Then you'll see a module pop up to allow them to choose the job they're working on and what labor process they're doing. They'll be able to choose to either clock in on that job and then come clock back out when they're done OR just enter the amount of time spent. Keep in mind that as you try to pull up the job the system may take a moment to pull up the one you're looking for... Once you understand this time tracking system you'll likely realize it would be more efficient if you had a computer at each station or machine - and you'd be correct. To really give yourself the best setup you'll probably want to get some cheap notebook computers to place at each station and then get a scanner so you're team can scan a barcode on your output pages rather than manually typing in the order number they're working on!
  5. Here's a quick tutorial on how you can track jobs through Allmoxy You have two options when tracking jobs through the production process: manual entry or barcode entry. We'll quickly run through the manual entry and then explain how to set up barcode tracking. The first thing to note is that you can not add order statuses. The existing statuses (ordered, verified, in progress, completed, etc) are fixed and can not be changed for individual customers. However, you can set up Production Lines and Labor Processes to track what happens to an order during the In Progress stage. To learn about setting up your production lines, view this article here. For manual job tracking, have your employee log in and then select Time Tracking from the drop down menu under their profile. Here, they can enter the date, order #, and select what they were doing. If you want employees to clock in and out, then they just need to click the Clock In/Out box. If you just want employees to enter what they did after completion, they can enter how long it took them (or not! this is optional) and then select Done. You can also use scanners to enter this information: We recommend setting up a scanning station (a tablet or small laptop with a scanner) at every step in your process for easier, quicker scanning. However, feel free to start small with one scanning station. To start scanning, go to the same dropdown menu and select Scanning Station. Here, simply scan your parts list or shipping ticket to update the status. You will have to configure your scanner to enter the information from the barcode generated on your output pages. All scanners come with a set up manual that should walk you through this process. We get several questions about which scanners are best. The best ones are whichever ones your team prefers! All seem to work well with Allmoxy.
